Building Emotional Safety: Creating Rooms for Deep Connections

In an industry defined by strobe lights and high-octane energy, there’s a quieter, deeper side of event production: the art of creating a sanctuary, with collaborative design and technical support.

In early 2025, at the Hilton London Croydon Hotel, the Come As You Are conference, hosted and organised by Nikki Sutherland brought together aspirational and high-achieving women for a journey of vulnerability and rebuilding from within.

Space to Breathe

Far more than just another date on the calendar, this was a faith-led intervention. It offered a rare environment for women used to being everyone else’s rock to step back, release pressure, and simply exist without expectation.

For many, strength had long been defined by armor: the need to stay composed, maintain appearances, and carry leadership, family, and career without a pause.

That understanding shaped everything. For the Carby & Co team, the project became about much more than technical specs; it was about emotional architecture.

The Production Brief: Turning Visions to Reality

When Nikki first approached Carby & Co, like many visionary creative founders, she had a strong vision, but translating that into a practical event environment required structure, planning, and production expertise.

The process started with a series of calls and virtual meetings to understand the picture she was trying to create. From there, we conducted an initial site visit at the venue, taking measurements, assessing layouts, and identifying what would be needed to bring the concept to life within the available budget.

Once the scope was agreed, our team returned for a second site visit ahead of the event to confirm layouts, and ensure every element was ready for installation day.

As the event continued to evolve, so did the production requirements. A live band and choir were introduced close to the event date, requiring additional technical support. We also helped to source the DJ for the event; DJ HB, and provided additional uplighting to further support the conference.

Transformation Time

The ultimate test of our planning came on the morning of the event. A production of this scale would normally require a full day. We had four hours.

Fortunately, our team knew the Hilton Croydon well, having delivered several productions there previously. That familiarity allowed us to move quickly and efficiently. A crew of ten worked together to transform the space.

Akin with many live events, the schedule remained fluid. Presentation content arrived late and required immediate reformatting for the venue screens, while additional technical requests had to be incorporated into an already tight schedule, leading to extra hours put in, contrary to initial plans. Yet, our team was more than ready to handle every shifting detail, tackling the unexpected is exactly what we do.

How We Got It Done

Ambient Lighting Design: We replaced the usual corporate glow with warm amber layered lighting alongside extensive entrance uplighting that transformed the hall into a more intimate and welcoming environment.

Scenic & Spatial Design: We handled the complete layout restructuring, installing the custom main staging and a bold red-carpet runway. We built multiple presentation areas, branded backdrops, a dedicated DJ stage and performance area with backdrop draping, and designed photo areas to capture key moments.

Seamless AV Production & Acoustic Clarity: Through integrated screen management, precise content display control, and speech-optimised audio, every moment was delivered clearly and without distraction.

By the time guests arrived, the transformation was complete.

When production is handled at this level, guests rarely notice the work behind it. They simply walk into the room, feel the atmosphere, and become fully present in the moment. We call this philosophy Invisible Excellence.
